A growing US-based commercial real estate client is seeking a detail-oriented Executive Assistant to support operations, manage communications, and maintain CRM data integrity. This role is essential in ensuring smooth workflows, accurate data management, and efficient day-to-day administrative support.
Responsibilities:
- Manage calendar scheduling, meetings, and time zone coordination
- Monitor inbox, draft responses, and follow up on communications
- Handle inbound and outbound client calls professionally
- Maintain and clean CRM data using RealNex or similar platforms
- Import/export and normalize data between spreadsheets and CRM systems
- Track database updates and ensure data hygiene standards
- Prepare meeting notes and manage action items
- Coordinate travel arrangements and administrative tasks
- Conduct research and support transaction-related tasks
- Document workflows and improve operational processes
Requirements:
- Minimum 1 year of experience as an Executive Assistant in commercial real estate
- Experience with CRE CRM systems (RealNex or similar)
- Strong proficiency in Excel or Google Sheets
- Excellent communication and organizational skills
- Ability to work part-time (20 hours/week) during US Eastern Time
- Reliable home office setup with required technical specifications
